Start a signature process in seconds.

PDF Signature processes

PDF signatures in Fairu are created within so-called PDF signature processes.

Important notes

  • To avoid conflicts with the file, it is not possible to run multiple signature processes simultaneously.
  • Once a process is completed, you can start a new process for the same file.
  • Currently, Fairu supports PDF as the only file type for signature processes.

Create a PDF Signature Process

Steps

  1. Start from file actions
    PDF signatures can be started directly from the file actions menu.
    For example, in the file overview click on "Sign document" to open the signature process dialog.

  2. Add signers
    To begin the process, simply enter the email addresses of the people who should sign the document.

    • You can add as many signers as needed.
    • Signers can be added or removed until the process is started.
  3. Confirm and lock the signer list
    Once the list of signers is complete, you can start the signature process.

    • At this point, the list of signers is locked.
    • This lock is necessary in order to proceed with the next step: placing the signature blocks on the document.

Placing Signature Blocks

Once the signature process has been created, you can place the visible signature blocks on the document.

Steps

  1. Open the placement tool
    Click on "Place signature blocks".
    A separate window from Semotec will open.

  2. Drag & drop signature blocks

    • Each signer will have their own signature block.
    • Use drag and drop to position the blocks on the PDF.
  3. Automatic saving

    • Every time a block is moved, the position is saved automatically.
    • You can close the placement window at any time — all changes remain stored.

Starting the Signature Process

At this stage, the document is not yet available for signing.
To begin, click on "Start signature process".

What happens next

  • All listed email addresses will receive an invitation email containing a deeplink to sign the document.
  • If your own Fairu email address is included in the signer list, you will also see the option to sign the document directly within Fairu.
    • This makes it simple for team members to sign documents without leaving Fairu.

Qualified Electronic Signatures (QES)

  • Once the document has been signed with a Qualified Electronic Signature (QES) (e.g., using ID Austria), the signed version will automatically replace the original in Fairu.
  • If the document is embedded via File Proxy, the cached version will also be cleared automatically to ensure the latest signed version is always displayed.
